Announcing Zoom Live Transcript Feature

Live transcription is now available in both UCI and UCI-HIPAA Zoom. This feature provides the ability for meeting hosts to turn on an automatically generated transcript while a meeting is in progress, for any participants who choose to display it. Early access to this Zoom feature was secured by the Office of Information Technology and it is currently only available on the UCI Zoom and UCI HIPAA Zoom accounts (Note: this does not yet include https://ucihealth.zoom.us or any other UCI-affiliated Zoom account.)

How to Enable the Live Transcript Feature

The host of a Zoom session must enable the feed once the session has begun, by clicking the “CC Live Transcript” button on the bottom toolbar, and selecting “Enable Auto-Transcription.”

Each participant can then decide whether to display the captions or transcript by clicking on “CC Live Transcript” along the bottom panel. 

This new Zoom feature allows us to be inclusive of all members of the UCI community in our digital spaces. While captions are critical for people who are deaf or hard of hearing, they are also helpful for people without disabilities, including those whose primary language is not English. Captions can also convey information that is lost when a participant steps away or a poor Internet connection causes sound skipping. 

We encourage you to activate this feature so it’s available for anyone who could benefit from live captions. You can read more about transcript and captions in Zoom here: https://zoom.oit.uci.edu/transcription/.

New EEE+ Home Page

Dear Instructors,

As 2020 comes to a close, the EEE team wanted to share a few updates that will hopefully help ensure a smooth beginning in the new year.

A New Home for Evaluations  The new home for final evaluations, as well as self-activated midterm evaluations, is EEE+ Evaluations. This new, full-featured tool, is where administrators and instructors can go to create and review evaluations, and where students will go to complete them. If you’re looking for older evaluations results from the EEE Legacy system, you will need to contact your Department Evaluations Administrator while we transition the data over to the new tool. We expect that instructors will be able to obtain this data themselves by Spring 2021. For more information on viewing results and using EEE+ Evaluations, please click here.

Other Updates and Tips

  • We are always reviewing and integrating new Educational Technology tools into UCI Canvas. Visit https://edtechtools.eee.uci.edu for a list of available and under-review tools.
  • Respondus users: If you’ve copied your UCI Canvas course space from a previous term, make sure to click into the Respondus dashboard before students attempt to access your exams. The connection to Respondus isn’t active for copied exams until you do this.
  • To add TAs to your winter Canvas course space, use the EEE+ Assistants Manager tool.

Check Your Physical Device Security

Dear Colleagues,

Physical security can be just as important as cybersecurity in protecting your devices against crime and breaches of security. We would like to share a reminder to periodically check your physical computing environment for anything suspicious connected to computers.

Keylogging hardware devices capture and record all of the keystrokes between the keyboard and computer for an attacker to collect and view. Similar to software keylogging malware, the data collected could include email and chat messages composed, as well as websites visited, passwords used, and other personal data. Hardware keyloggers are difficult to detect and require a physical inspection of your environment, especially if your USB inputs are not very visible. See below an example of what they may look like.

Tips for maintaining physical security of your devices

  • Check computers for anything suspicious or unrecognized connected via USB or other ports
  • Store your devices securely when not in use
  • Use a password manager, limiting the need to key sensitive information
  • Use multi-factor authentication to limit the impact of a stolen password
  • Stay current with the latest security updates and anti-virus software to prevent software keylogging malware

Distance Learning Privacy Advisory

UCI Community,

When the University of California, Irvine (UCI) suspended face-to-face instruction and quickly switched to distance learning in response to a global pandemic, we increased use of teleconferencing and virtual meeting platforms to deliver course content.

This privacy advisory informs users accessing UCI courses from outside of the United States that local privacy or security laws may affect their account and impact the ways the users interact with Zoom and other UCI teleconferencing solutions. For those accessing services outside the US, UCI has chosen the most secure data routing options available to us through our 3rd party service providers.

Users participating in classes via virtual meeting platforms from outside of the United States may encounter limits in function or access due to these local laws, which may differ from UC or California standards.

If you have concerns or identify limits to accessing your coursework, please talk to your instructor to discuss alternatives.
